HUDSON VALLEY FLOWER WALLS RENTAL AGREEMENT

1. Booking Policy: 

  • Bookings must be made at least 2 weeks in advance.

  • Bookings made within 1 week will incur an additional $100 fee.

  • Please note that our flower wall cannot be set up outdoors under any Circumstances.

1. Rental Period:

  • The standard rental is up to 24 hours, but we have options for you to rent up to 7 days.

 

2. Payment:

  • 100% of the payment is due upon booking.

 

3. Additional fees include:

  • All bookings include the full rate to book the wall, delivery and pick-up, set-up, and break down.

  • Tax: 8.25% of the flower wall base price and delivery

 

3. Reservation Changes:

  • If the date of your rental reservation needs to be changed, please notify Hudson Valley Flower Walls as soon as possible.

  • Rescheduling is permitted to another date no more than three months from the original date.

  • Date changes are allowed once, provided that either date is still within three months of the original reservation.

  • Failure to comply with these terms will result in the forfeiture of the payment, requiring a new reservation and deposit.

 

4. Cancellation Policy:

  • Cancellations made within seven days of your event will not be refunded.

  • Full payment is due upon booking the wall.

  • Failure to provide full payment will result in the cancellation of your reservation.

 

5. Rental Terms:

  • All rentals are one-day rentals unless otherwise agreed upon. Items will be dropped off, set up, and picked up by Hudson Valley Flower Walls.

6. Delivery:

  • All deliveries will be scheduled with a one-hour window. A point of contact person must be available for entry and setup instructions.

  • Failure to provide access will result in reservation cancellation, no refund, and the need for a new reservation with full payment.

 

7. Damages and Cleaning:

  • In the case of lost, damaged, or soiled items, additional charges will be invoiced via email within five business days of your return, payable upon receipt.

  • The renter is responsible for the cost of replacing or repairing any lost or damaged items.

  • All items must be returned cleaned and free of excess dirt. Dirty items will incur a $50 cleaning fee. If professional cleaning is required, the renter is responsible for the third party's cleaning fee.

  • Flower Walls can not be set-up outdoors without the permission of Hudson Valley Flower Walls owner

  • Flower walls should not be moved after they are set up by a non-Hudson Valley Flower staff wall without permission.

 

8. Liability and Insurance:

  • The renter assumes full responsibility for any damage to personal or public property or personal injury caused by using rented items.

  • Hudson Valley Flower Walls holds no liability, and the renter assumes all risk.

  • Renters desiring insurance must obtain it independently.

 

9. Defects: 

  • While Hudson Valley Flower Walls makes every effort to provide defect-free rentals, minor defects may exist from previous rentals. Major defects should be reported immediately.

 

10. Payment:

  • No personal checks are accepted. Payment may be made via credit or debit card, cash or Zelle, or any payment app agreed upon by Hudson Valley Flower Walls.
